The Marine Admin is responsible for:


• Providing administrative and secretarial support to Master, Staff Captain and Chief Engineer;
• Assisting Deck and Engine Officers if needed;
• Verifying that all Seafarers are trained and certified in full compliance with Company’s, STCW and Flag State requirements using GOATT-3.1: Qualification Requirements Matrix; Note: Original certificates to be presented for verification and filing.
• Maintaining and file crew training records, ensuring the STCW database is consistently updated;
• Encoding STCW training certificates into Otalio System;
• Monitoring the expiry dates of all crew members' STCW training certifications;
• Being familiarized in all crew/officers STCW training certificates and licenses required for different nationalities;
• Coordinating and working closely with Crewing Recruitment in making follow-ups with regards to Crew Training Certificates and Officer’s License application etc;
• Being Computer Based Training (CBT) Administrator onboard for STCW trainings;
• Coordinating and assisting the Master in distribution of updated Management System documentation;
• Being well familiarized with the Company Management System (DocMap) documentation;
• Being well familiarized with GOATT-21.1 Vessels Filing System;
• Transcribing meetings for Deck and Engine Departments;
• Recording and keeping all real emergency logs;
• Collecting crew appraisals of Deck and Engine Department and sending the compiled crew appraisals to Human Resources Manager and Crew Manager;
• Issuing a letter of service to all disembarking crew;
• Keeping track of the reference number system for internal and external correspondence;
• Organizing monthly Senior Management Inspection;
• Providing administrative support to captain in sending the Pre-Arrival Notification of Security (PANS) Report to every single port of calls of the ship;
